GET PAID FASTER

Credit Control Advisory

Chasing money is awkward when the debtor is also a customer you value. We turn collections from a confrontation into a process-diagnosed first, fixed fee, scope in writing.

Who this is for

NZ businesses with genuine B2B terms and thin admin-where 100+ invoices go out every month, nobody owns credit, and everyone chases when they remember.

  • Trades & subcontractors: progress claims and retentions where a slow payer up the chain squeezes your whole month.
  • Wholesale & distribution: high invoice volumes on 30-day terms, with too much of the ledger sitting on two or three big customers.
  • Freight, equipment hire & labour hire: recurring invoicing where a few slipped weeks of follow-up turn into serious overdue balances.
  • Commercial services: project and retainer billing where terms of trade were signed years ago, if at all.

Accountant or bookkeeper? We partner with firms whose clients need credit control-you keep the client relationship, we do the work. Talk to us.

What credit control covers

Getting paid on time is a chain, and it breaks at the weakest link. Accounts receivable is one part of it-we look at the whole chain.

Customer vetting & credit limits

Who you extend credit to, how much, and what you check before the first job-so bad debt is prevented, not chased.

Terms of trade

What your paperwork actually lets you do when an invoice goes unpaid-interest, costs, stop-supply, and security.

Invoicing & collections (AR)

Invoicing the day the job finishes, consistent reminders, and follow-up that happens on schedule-not when someone remembers.

Escalation & PPSR

A written ladder for what happens at day 7, 14, 30, and 45-and registering your interests where it matters.

How we help you get paid

Start with the diagnostic. It stands alone, it produces numbers you don’t currently have, and it tells you whether the second product is worth buying. Every engagement is a fixed fee agreed up front, with the scope in writing.

AR Health Check

Fixed fee · one week

Read-only Xero access - a 6–10 page report plus a 60-minute walkthrough
  • Your DSO now, the 12-month trend, and what one week of improvement is worth in cash
  • Aged receivables with concentration risk-how much sits with your two biggest customers
  • Top 10 overdue by value, each with a recommended action
  • Invoice-timing analysis and 3–4 specific terms-of-trade gaps, flagged
  • A prioritised 90-day action list-five items maximum

Credit Control Setup

Fixed fee · 3–4 weeks

Installed, not advised - policy, process, tooling, and training in place
  • Credit policy document: approval thresholds, limits, stop-supply triggers
  • Credit application form and a vetting checklist your team can actually run
  • Credit limits set for your existing top 20 customers
  • Escalation ladder-day 7 / 14 / 30 / 45, who does what
  • Automated follow-up connected and configured, plus two training sessions

Sometimes the answer is “your process is fine-here are two tweaks.” The Health Check stands alone; there is no obligation to buy anything else.

Why late invoices are expensive

DSO (days sales outstanding) is the number of days your money spends in someone else’s bank account. Here are illustrative examples of what shortening it is worth.

Illustrative examples of cash freed by reducing days sales outstanding.
Illustrative businessDSO changeOne-off cash freed*What typically changes
Subcontractor, $800k revenue62 → 47 days~$33k*Invoicing the day the job finishes; reminders that actually go out
Trade services, $1.5m revenue58 → 45 days~$53k*Escalation ladder in writing; stop-supply triggers on chronic late payers
Wholesale distributor, $2m revenue55 → 40 days~$82k*Credit limits on concentrated accounts; consistent automated follow-up

Important*: illustrative examples only (not a quote or commitment). Cash freed is estimated as daily revenue × days of DSO improvement; your result depends on volumes, margins, customers, and how much of the action list you implement.

Diagnostic-first, tooling-neutral

Some clients need better terms of trade. Some need a phone-call cadence. Some need software. The Health Check recommends whatever your ledger says you need-most of it makes us no money. We recommend Collassist only where it genuinely fits, and we’ll tell you if you don’t need it.

Questions owners actually ask us

Will you contact or chase my customers?

Never. We diagnose, we build the process, and we train your team-but every reminder, call, and email goes out from your business, in your name and your tone. Your customer relationships stay yours.

My biggest debtor is also my biggest customer - I can’t push them.

That’s exactly what the concentration analysis and the escalation ladder are for. You don’t need to push anyone-you need polite, consistent follow-up that’s designed around the relationship. Consistency beats confrontation, and big customers respect a business that runs its ledger properly.

Do I have to buy software?

No. The Health Check comes first, and most action lists are mostly process-invoice timing, terms, follow-up cadence. Where tooling genuinely fits we say so, and the disclosure in the site footer covers our relationship with Collassist. If you don’t need it, we’ll tell you.

What do you need from me?

Read-only Xero access and your customer list by day two, then one or two working sessions. That’s it. We work around your week, not the other way round.

What if my process turns out to be fine?

Then the Health Check says so. You keep the report, the numbers, and the couple of tweaks it found, and that’s the end of it-there is no obligation to buy anything else.

We’re not on Xero - can you still help?

Usually yes-we can work from exports out of most accounting systems. And if you’re thinking of moving anyway, Xero migration is something we do as a certified specialist.
